Nova Scotia Research and Innovation Trust (NSRIT)
The Nova Scotia Research and Innovation Trust is a not-for-profit trust that supports research infrastructure. Currently, our Halifax office is looking for an Administrator – Office & Special Projects.
The Nova Scotia Research and Innovation Trust was established in 2001 by the Province of Nova Scotia to match research infrastructure projects awarded under the Canada Foundation for Innovation (CFI). The Trust acts as arm’s length entity to coordinate research funding and provide leadership within the post-secondary education research community. NSRIT has undertaken an expanded mandate for supporting research within the province. The Province of Nova Scotia provides the funding for the Trust, while the management and governance is the responsibility of the Trustee. NSRIT is supported by the Beneficiaries Committee, who adjudicate eligible research projects and is comprised of the Presidents and CEOs of the research institutions. (nsrit.ca)
Reporting to the Executive Director, the Administrator – Office and Special Projects will play an important role and be significantly involved with the ongoing administrative work activities and communications of the Trust. In addition to ensuring the smooth functioning of the office, he/she is responsible with upholding and promoting the message of the NSRIT through various media, as assigned. A professional demeanour and can-do attitude is essential, as the Administrator liaises with internal and external stakeholders, including members of government and universities.
The successful candidate must be a motivated, independent and flexible self-starter who ensures accuracy follow-through with assignments. A keen eye for detail is vital, as is a high level of integrity and uncompromised confidentiality.
RESPONSIBILITIES:
- All matters of office administration, including: answering and directing calls; email; word processing; filing (electronic and hard copy); mail merges; mail outs; arranging couriers; ordering office supplies and maintaining inventory; minutes; maintaining templates; other as assigned
- Planning and organizing meetings; preparation of extensive meeting materials; utilizing on-line tools
- Coordinating award process
- Creating and maintaining spreadsheets and databases (Excel)
- Processing accounts payable/receivables /awards; liaising with financial offices
- Data entry into Excel and Quickbooks accounting program
- Updating website and promotional materials using WordPress
- Administering social media aspects
- Writing/drafting/proofing of communications, press releases, research stories and reports, as required
- Other duties as assigned
QUALIFICATIONS
- Graduate of recognized post secondary office administration or communications program and/or equivalent experience. University degree considered an asset.
- Minimum three years demonstrated work experience in office setting. Work experience in higher education, government, not-for-profit, research, communications, and/or advancement environments preferred
- Intermediate or better proficiency with Microsoft Office Suite (with particular emphasis on Word, Excel and PowerPoint applications)
- Excellent planning, organization, prioritization and time management skills
- Ability to work alone and with teams
- Excellent communications skills – oral and written
- Experience with accounting software (i.e. Quickbooks)
- Experience in web applications and content management systems (i.e. WordPress)
- Experience in social media and on-line project management (i.e. Basecamp)
This position allows some flexibility in scheduling. A typical work week is up to 34 hours; however, more or fewer hours may be required depending on time of year and position demands.
